What this section is

Guest folios are the bill for each stay: accommodation, restaurant, laundry, advances, payments, and balance due. Open = in-house or unsettled; Closed = typically settled after checkout. Work from Finance → Guest folios or from a reservation’s folio. Post entries here; the tax invoice reads this ledger.

In the owner dashboard

Open Guest billing (folios) under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~12 min

Typical time to read this guide and complete the screen once for a small property.

Finance · Guest billing

Run guest money correctly: folios, tax invoices, payments, refunds, corporate credit, and discounts & comps.

Help cues

When to use it

Cue 1

Checkout — settle balance before Departures marks the guest out.

Cue 2

Post F&B / laundry mid-stay.

Cue 3

Split bill between two guests or payment methods.

Do this

Step-by-step

  1. 1

    Open the folio

Finance → Guest folios, or Reservations → Folio. Read Charges, Paid, Balance due, and Deposit held KPIs. Switch split tabs if company and guest share the stay.

    India example: Open · Rm 204 · Priya · balance ₹6,240.
  2. 2

    Post and collect

Use Add entry (or Charge from menu for F&B). Apply GST when required. Post payment/advance with method + reference. Print Invoice when the guest needs a tax bill.

    India example: F&B ₹1,240 · UPI ₹3,000 · cash ₹2,000 · balance clear → Invoice.
  3. 3

    Close (or reopen)

Close when settled after checkout. Reopen only for a late charge — then re-settle and refresh the invoice. Unpaid closed stays also show on Accounts receivable.

India example: Closed after checkout · late minibar → reopen → post → pay → close.

Tips

Filter Open before night audit — every open balance needs a story. · Advances and deposits live on the folio; return deposits as deposit return / refund, not by deleting history. · Corporate room on a split “Acme” folio; guest minibar on Primary — keeps AR and credit billing clear.

Common mistakes

Taking cash without posting a payment entry — drawer and folio will never match. · Closing with balance still due — guest walks; chase via Accounts receivable.

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Checkout Room 204 — F&B posted, UPI settle, close

Setting

Departures board · Priya · balance ₹6,240 after room + F&B.

Who is involved

Front office Priya (cashier hat)

If F&B was not posted, the guest leaves undercharged. Post, collect, close — then invoice.

# What staff do What they should see
