What this section is

Credit & debit notes are formal GST adjustments against an issued tax invoice — not informal folio comps. A credit note (CN) reduces what the guest/company owes; a debit note (DN) adds a charge. Each note links to an invoice document ID, can carry HSN and CGST/SGST/IGST, and prints as CN/DN. Issuing posts the total to the folio. Use Discounts & comps for goodwill without a prior tax invoice; use CN/DN when the invoice already went out.

In the owner dashboard

Open Credit & debit notes under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~11 min

Typical time to read this guide and complete the screen once for a small property.

Finance · Tax & GST

Configure Indian GST: slabs, F&B tax, CGST/SGST/IGST, HSN/SAC, credit notes, reports, e-invoice, e-way, and KYC docs.

Help cues

When to use it

Cue 1

Breakfast overcharged on an already-printed tax invoice.

Cue 2

Late checkout fee to add after invoice issued.

Cue 3

B2B company rejects a line and needs a CN for their books.

Do this

Step-by-step

  1. 1

    Open Credit & debit notes

Finance → Credit notes. Create note: type credit or debit, link invoice/folio, taxable value, tax components, reason.

    India example: CN · INV doc · taxable ₹1,000 · 18% split → total ₹1,180.
  2. 2

    Issue the note

Review → Issue (posts to folio). Print CN/DN layout for guest/company. Void only with audit reason if created in error before use.

India example: Issue → folio credit ₹1,180 · print CN for Acme Ltd.
  3. 3

    Reflect in GST reports

Issued notes appear in GST register / GSTR-1 style export for the period — tell your CA.

India example: September export includes CN-12.

Tips

Cash refunds still need a folio refund entry; CN handles the tax document side when an invoice existed. · Do not void casually after the guest’s CA has booked the CN.

Common mistakes

Editing the original invoice number instead of issuing a CN — breaks the FY series and audit trail.

Example 1: Credit note after breakfast overcharge on issued INV

Setting

Invoice already printed · guest disputes ₹800 breakfast.

Who is involved

Front office · Accountant

Do not invent a new invoice number. CN against the original document keeps GST clean.

# What staff do What they should see
1 Finance → Credit notes → Create · credit · link INV Taxable + components entered.
2 Issue Folio posts credit · CN printable.
3 Check GST reports for the CN Period register includes the note.
End result: Guest and GST books both corrected formally.
