What “unlocks by plan” means

After you claim a stay, the owner dashboard shows modules (front desk, folios, housekeeping, GST, and more). Not every module is on every plan. Starter covers listing + core desk for small inventory; Growth, Pro, and Business add ops, F&B, finance, and full OS tools. Higher plans always include everything below them.

Included vs locked

On Pricing, ✓ means the module opens on that tier. — means upgrade to unlock it in the sidebar.

Example: Night audit & housekeeping unlock on Growth+.

Room caps

Plans also limit how many physical rooms you can add — separate from which menus you see.

Example: Starter ≤2 rooms · Growth ≤7 · Pro ≤20 · Business unlimited.

Upgrade path

Hitting a lock or room cap sends you to Subscribe / Upgrade for that property — no data loss.

Example: Need a 3rd room on Starter → upgrade to Growth.

Menu guide

Getting started — your dashboard map

Inside the owner account, Getting started is the menu guide: every workspace band (Listing, Rooms, Front desk, Finance…) with a short help line and a concrete example. Use it when you know what you need but not where it lives in the sidebar.

How to open it after login

Claim a property → open the dashboard → look for Getting started / Menu guide (also listed in Setup). Pair it with Setup order so you enter data in the right sequence.

Start here

Begin with the recommended data order, then use this menu guide as your map of every workspace.

Setup order: First→last checklist of what data to enter so rooms, rates, and bookings work together.
e.g. Profile → photos → room types → inventory → rate plans → taxes → team → go live.

Go-live checklist

Setup order — enter data the right way

Setup order is the recommended first→last checklist so your listing, rooms, rates, and GST are ready before you take OTA or walk-in bookings. Skipping ahead (e.g. selling before room types) causes broken folios and “no free room” errors.

Rule of thumb

Profile & photos → room types → inventory → rates → taxes/GSTIN → then front desk & channels. Marketing and team invites come after the first clean booking.

Listing foundation

9 steps in this phase

  1. 1

    Property profile

Add stay name, type, star category, and description first. Everything else hangs off this listing.

Example: e.g. “Sea View Inn”, Hotel, 3★ — short guest-facing description.
    Who: Owner
  2. 2

    Location & contact

Save address, map pin, phone, and email so guests can find and call you.

    Example: e.g. MG Road, Calicut · +91 98765 43210 · [email protected]
    Who: Owner
  3. 3

    Regional settings

Set timezone, currency, and date format before rates and reports — wrong region breaks pricing and night audit.

    Example: e.g. Asia/Kolkata · INR · DD/MM/YYYY
    Who: Owner
  4. 4

    Policies

Check-in / check-out times, ID rules, cancellation, pets, and house rules before you take stays.

    Example: e.g. Check-in 2 PM · Check-out 11 AM · Govt ID required
    Who: Owner
  5. 5

    Timings

Front-desk and property hours guests see on your listing.

    Example: e.g. Front desk 24×7 · Restaurant 7 AM–10 PM
    Who: Owner
  6. 6

    Amenities

Mark Wi‑Fi, parking, AC, meals, and other facilities guests expect to see.

Example: e.g. Free Wi‑Fi, parking, AC, restaurant, 24×7 desk
    Who: Owner
  7. 7

    Photos & video

Upload exterior, room, and amenity photos. Add a video/tour when you have one.

Example: e.g. Facade + Deluxe room + bathroom (8–15 photos); optional YouTube tour
    Who: Owner
  8. 8

    Hotel overview & SEO

Write the hotel overview guests see on your listing, plus SEO title and description.

Example: e.g. “Quiet misty-hill farmstay near Munnar — family rooms, garden views, home breakfast.”
    Who: Owner
  9. 9

    WhatsApp & social links

Add the number you answer for enquiries, plus website / Instagram / Facebook on the listing.

    Example: e.g. Reception WhatsApp + Instagram @seaviewinn
    Who: Owner

Sellable inventory

6 steps in this phase

  1. 10

    Room types

Create Deluxe, Suite, Dorm, etc. You must define types before adding individual rooms.

    Example: e.g. Deluxe King — 1 king bed, max 2 adults + 1 child
    Who: Owner
  2. 11

    Room inventory

Add each physical room / unit under its type (numbers, floors, starting status).

    Example: e.g. Rooms 101, 102, 201 under Deluxe
    Who: Owner
  3. 12

    Availability & status board

Open sellable dates and set each room’s live status (vacant / clean / dirty / OOO).

    Example: e.g. All Deluxe open next 90 days · 101 Clean · 305 OOO
    Who: Owner
  4. 13

    Rate plans

Set base rates (EP/CP/MAP) and weekday / weekend pricing for each room type.

    Example: e.g. Deluxe CP: weekday ₹3,500 · weekend ₹4,200
    Who: Owner
  5. 14

    Taxes & fees

Configure GST slabs, service charge, and mandatory fees so quoted prices match invoices.

    Example: e.g. GST 12% under ₹7,500 · GST 18% above
    Who: Owner
  6. 15

    Pricing calendar & seasons

Set date overrides for peak seasons; optionally add offers and coupons after base rates exist.

Example: e.g. Pricing calendar day override ₹4,500; Seasonal +30% for 20 Dec–5 Jan
    Who: Owner

Go-live readiness

5 steps in this phase

  1. 16

    Booking sources

Enable and label channels (Direct, Walk-in, Phone, OTAs) before you create stays — reports depend on this.

    Example: e.g. Direct · Walk-in · Phone · Booking.com · MakeMyTrip
    Who: Owner
  2. 17

    KYC & GST documents

Upload GSTIN / KYC before you issue tax invoices and GST reports.

Example: e.g. GST certificate + PAN of the property entity
    Who: Owner
  3. 18

    Direct booking link & notifications

Copy your shareable listing URL and turn on email/WhatsApp alerts for bookings and enquiries.

Example: e.g. Share listing link on WhatsApp; email owner on every new booking
    Who: Owner
  4. 19

    Integrations check

Confirm WhatsApp, payments gateway, and listing connections are healthy before go-live.

Example: e.g. Razorpay connected · WhatsApp number verified
    Who: Owner
  5. 20

    Check public listing

Open your live FindMyStay page and confirm details, photos, and contact look right before sharing.

Example: e.g. Photos load, WhatsApp button works, rates look right
    Who: Owner

First operations

6 steps in this phase

  1. 21

    First booking

Create a test or real reservation (phone / direct). Prefer New booking before heavy front-desk traffic.

Example: e.g. Phone booking: Deluxe, 2 nights, CP, advance ₹1,000
    Who: Owner
  2. 22

    Front desk boards

Run the day from Arrivals, Departures, and In-house. Assign rooms; close the day with Night audit.

Example: e.g. Check in arrival → assign 101 → night audit at close
    Who: Owner
  3. 23

    Guests & enquiries

Keep guest records in the directory; answer listing messages and track follow-ups.

    Example: e.g. Enquiry “sea-view for 20 Nov?” → follow-up → convert to booking
    Who: Owner
  4. 24

    Folios & payments

Post room charges on guest folios, take advances/balances, and print invoices when needed.

    Example: e.g. Folio #F-204: room ₹7,000 · advance ₹2,000 · balance due
    Who: Owner
  5. 25

    Cash register & expenses

Open/close the daily cash drawer and log operating expenses so P&L stays accurate.

Example: e.g. Open float ₹5,000 · log laundry expense ₹3,200
    Who: Owner
  6. 26

    Housekeeping & room blocks

After checkout mark rooms dirty/clean; block units for maintenance so they cannot be sold.

Example: e.g. 204 Dirty → Clean; 305 OOO for AC repair
    Who: Owner

Scale later

6 steps in this phase

  1. 27

    Add employees

At the start you run everything yourself. When you need help, invite front desk / managers and set permissions.

Example: e.g. Invite desk@… as Front desk — no finance void rights
Who: Owner → then staff Scale later
  2. 28

    Approvals & audit log

Require sign-off for refunds/expenses and review who changed what on sensitive actions.

Example: e.g. Refunds over ₹1,000 need manager approval
Who: Owner / Manager Scale later
  3. 29

    Marketing (QR, OTA, campaigns)

Print listing QR codes, store OTA deep links, then run guest campaigns once the listing is solid.

    Example: e.g. Reception QR + Booking.com link + STAY10 WhatsApp blast
    Who: Owner Scale later
  4. 30

    Ops extras (stock, tasks, add-ons)

Optional: checklists, stock, incidents, add-ons, products, and events when day-to-day ops are stable.

Example: e.g. Airport pickup add-on ₹800 · weekly generator checklist
Who: Owner / Staff Scale later
  5. 31

    Analytics & reviews

After you have traffic and stays, watch occupancy/RevPAR, listing performance, and reply to reviews.

Example: e.g. Weekly: occupancy 78% · reply to new Google reviews
    Who: Owner Scale later
  6. 32

    Subscription & plan

Confirm your FindMyStay plan covers team seats and features you need as you grow.

Example: e.g. Pro renews 1 Nov — upgrade if you add more staff
    Who: Owner Scale later
