What this section is

Night audit is the daily close. In Indian hotels this is often done between 11 PM and 1 AM by a night auditor or senior receptionist. Do not skip it on “quiet” weekdays — missed closes create GST (Goods and Services Tax) and cash mismatches. Clear open KOTs (Kitchen Order Tickets) before close.

In the owner dashboard

Open Daily closing / night audit under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~10 min

Typical time to read this guide and complete the screen once for a small property.

Front office · Front desk

Daily reception workflow: pre-arrival through night audit, including walk-ins, room assignment, and Form C.

Help cues

When to use it

Cue 1

End of every business date.

Cue 2

After a heavy wedding / conference day with many posts.

Cue 3

Before owner reviews next-morning reports.

Do this

Step-by-step

  1. 1

    Open Night audit

Front desk → Night audit (also linked from Workflows). Review the checklist for the business date you are closing.

India example: Close business date 12 Oct at Seaside Heritage after last restaurant bill is posted.
  2. 2

    Reconcile movements and money

Confirm arrivals checked in, departures checked out, no ghost in-house rooms, cashier shift / cashbook tallies, and open restaurant tickets are posted or voided.

India example: Cash ₹18,400 + UPI ₹62,150 · matches cashier shift · Room 208 still “due out” with ₹0 balance → complete checkout.
  3. 3

    Close and hand over

Complete the audit close when exceptions are cleared. Leave handover notes for morning: VIPs, late arrivals, rooms blocked for maintenance.

India example: Handover: 2 early arrivals 13 Oct · 204 AC complaint pending · audit closed 00:40 IST.

Tips

Never close with unknown open balances — fix or document with manager approval. · If you also use Workflow → Night audit, treat them as the same operational close discipline.

Common mistakes

Rolling the date without posting room charges / no-show fees — understates revenue. · Two people closing the same day twice without communication.

Staff training

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Close 12 Oct after wedding-day posts

Setting

Seaside Heritage · 00:20 IST · restaurant still open earlier; last KOT (Kitchen Order Ticket) posted.

Who is involved

Night auditor Rahul · Morning handover to Priya

Night audit closes the business date. Skipping “quiet” weekdays causes cash and GST mismatches. Wedding days need extra care for open tickets and due-outs.

# What staff do What they should see
1 Front desk → Night audit for 12 Oct Checklist: arrivals/departures, open folios, cash, F&B tickets.
2 Fix Room 208 still due-out with ₹0 · complete checkout Departure count clean.
3 Match cashier: cash ₹18,400 + UPI ₹62,150 Shift tallies; variance investigated if any.
4 Close audit · write handover: early arrivals, 204 AC pending Business date closed 00:40; morning team has notes.
End result: Clean close; morning reports and GST summaries trust the date.
