What this section is

C-Forms supports foreign guest reporting workflows used by many Indian hotels (Form C / FRRO — Foreigners Regional Registration Office — related processes). FindMyStay stores operational drafts and submission tracking — follow your local police/FRRO procedure for actual filing.

In the owner dashboard

Open C-Form / Form C under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~9 min

Typical time to read this guide and complete the screen once for a small property.

Front office · Front desk

Daily reception workflow: pre-arrival through night audit, including walk-ins, room assignment, and Form C.

Help cues

When to use it

Cue 1

Any arriving guest who is not an Indian national (as per your property’s compliance rules).

Cue 2

Groups with mixed nationalities (treat each foreign guest).

Do this

Step-by-step

  1. 1

    Open C-Forms

Front desk → C-Forms. Create a draft linked to the reservation/arrival when a foreign guest checks in.

India example: Guest from Germany · passport captured at desk · draft Form C for Seaside Heritage, Kochi.
  2. 2

    Enter required fields carefully

Use accurate passport name spelling, nationality, address in India (hotel), and dates of stay. Store only the passport last 4 digits in the system fields designed for that — do not paste full passport scans into free-text notes.

India example: Nationality DE · stay 12–15 Oct · local address = hotel address · passport …4521.
  3. 3

    Mark submission status

When your team files with the official channel, update status / reference number so night audit and compliance reviews can see completion.

India example: Submitted · FRRO/portal ref noted · status Submitted for audit.

Tips

Train every receptionist — foreign check-ins after 10 PM still need the same diligence. · Pair with Compliance → Foreign guest module for broader statutory tracking when you use that suite.

Common mistakes

Skipping Form C because “they are only staying one night” — compliance is not optional. · Storing full passport images in unrestricted notes fields.

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Foreign couple check-in with Form C draft

Setting

Sunday 15:00 · Müller (Germany) arrive · room 112 ready.

Who is involved

Reception · Compliance-aware manager

Indian hotels commonly file Form C / FRRO-related reports for foreign guests. FindMyStay helps draft and track; your local filing process still applies.

Capture passport last-4 in the proper fields — do not paste full scans into open notes.

# What staff do What they should see
1 Complete Arrivals check-in for Müller In-house in 112.
2 Front desk → C-Forms → new draft linked to stay Fields for nationality, hotel address, stay dates.
3 Enter DE, dates, passport last-4 …4521 · save Draft ready.
4 After official portal submission, mark Submitted + reference Compliance/audit can verify completion.
End result: Foreign guest documented; morning manager sees Submitted status.
