What this section is

Booking inbox (New booking import) is a manual feed — not a live OTA API. When Booking.com or MMT (MakeMyTrip) confirms a stay, staff paste the OTA reference, guest, dates, room type, and amounts, then Apply to create a PMS reservation (source OTA, external_ref kept for later amend/cancel). Channels should already exist under OTA connections. Duplicate refs go to Conflicts — use Amend / cancel instead of a second new import.

In the owner dashboard

Open Booking import under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~12 min

Typical time to read this guide and complete the screen once for a small property.

Distribution · OTA reservations

Bring OTA bookings into PMS: booking inbox, amend/cancel sync, and conflict resolution.

Help cues

When to use it

Cue 1

OTA confirmation email arrives for a new booking.

Cue 2

CM export / extranet reservation list after morning download.

Cue 3

Dashboard shows inbox awaiting review.

Do this

Step-by-step

  1. 1

    Open Booking inbox

Distribution → Booking import. Filter by OTA ref, channel, status, or arrival dates as needed.

India example: Pending · Booking.com · arrival this week.
  2. 2

    Add inbox item (New booking)

Event = New booking. Enter OTA ref (exact from confirmation), channel, guest name/phone/email, check-in/out, adults/children, room type, total/net if known, notes.

    India example: BCOM-99102 · Priya Nair · Deluxe · 20–22 Oct · 2 adults · ₹8,400.
  3. 3

    Apply or Dismiss

Apply creates a confirmed reservation linked to the ref. Dismiss drops spam/test rows. If Apply fails with duplicate ref, open Conflicts or use Amend / cancel.

India example: Apply → PMS #442 · status Imported · Pre-arrival can see the guest.

Tips

Copy the OTA ref carefully — amend/cancel later match on external_ref. · Clear pending inbox before night audit so Front desk is not surprised by “ghost” OTA guests.

Common mistakes

Creating a separate New booking in Reservations and also importing the same OTA ref — double inventory.

Staff training

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Morning Booking.com confirmation → PMS

Setting

Kochi · email BCOM-99102 · Priya · Deluxe · 20–22 Oct · 2 adults.

Who is involved

Front office Priya

Inbox is typing work, then Apply. Do not also create a walk-in/new booking for the same ref or inventory doubles.

# What staff do What they should see
1 Distribution → Booking import → Add · New booking Form with OTA ref field.
2 Paste BCOM-99102 · guest · dates · Deluxe · channel Booking.com Pending row in list.
3 Apply Confirmed reservation · PMS id shown · Pre-arrival can prepare.
End result: OTA stay is in PMS with a clean external_ref.
