What this section is

Chart of accounts (COA) is the list of GL (General Ledger) codes for the property: assets (cash/bank/AR), liabilities (AP), income (room/F&B), expenses (payroll/utilities), and equity. Seeded defaults appear on first use; add local codes (banquet income, OTA commission expense) before posting vouchers. Every JV/PV/RV/CV line must pick a COA code.

In the owner dashboard

Open Chart of accounts under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~10 min

Typical time to read this guide and complete the screen once for a small property.

Finance · Accounting

Double-entry books: COA, ledgers, vouchers, statements, budgets, cost centres, and Indian FY closing.

Help cues

When to use it

Cue 1

Go-live books setup before first journal.

Cue 2

New banquet income head needed.

Cue 3

CA asks which code is Bank current.

Do this

Step-by-step

  1. 1

    Open Chart of accounts

Accounting → Chart of accounts. Review seeded codes (e.g. 1010 Bank, 4000 Room revenue, 5100 Payroll).

    India example: 1010 Bank current · 1100 AR · 2000 AP.
  2. 2

    Add a local account

Create code, name, and type. Do not reuse codes casually after postings exist.

India example: 4200 Banquet income · Income type.
  3. 3

    Use on vouchers

Post a test JV/PV using the new code; confirm it appears in General ledger / Trial balance.

India example: JV credits 4200 · shows on GL filter.

Tips

Agree the COA with your CA once — renaming mid-year confuses Trial balance history. · Finance ops screens (folios, expenses) are not a substitute for posting into these GL codes.

Common mistakes

Posting everything to “misc expense” — departmental and statutory reports become useless.

Example 1: Add banquet income code before wedding season

Setting

Kochi property · CA approved code 4200.

COA first — vouchers cannot invent codes at the desk.

# What staff do What they should see
1 Accounting → Chart of accounts → add 4200 Banquet income Income account saved.
2 Post a small test JV credit 4200 GL shows the code.
3 Train banquet cashier on the code name Season ready.
End result: Banquet revenue lands on a real GL head.
