What this section is

Stock issue reduces store on-hand because the items are going into use (HK carts, kitchen line, engineering). It is not a transfer to another warehouse — use Stock transfer when the destination is still a store location with its own qty.

In the owner dashboard

Open Stock issue under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~9 min

Typical time to read this guide and complete the screen once for a small property.

Inventory · Stock movements

Move stock with audit trails: GRN (Goods Receipt Note), issue, transfer between stores, and adjustments.

Help cues

When to use it

Cue 1

HK asks for 24 shampoo for Floor 2.

Cue 2

Kitchen needs chemicals/disposables from MAIN (if not using kitchen-specific issue).

Cue 3

Engineering draws bulbs/spares for repairs.

Do this

Step-by-step

  1. 1

    Open Stock issue

Inventory → Issue. Pick item, from-store, quantity, and department. Add reason/reference for the audit trail.

    India example: From MAIN · 24 shampoo · Housekeeping · ref HK-weekly-12.
  2. 2

Issue only what left the shelf

Physical hand-over and system issue together. No “we’ll update later” during rush — that is how shrinkage hides.

India example: Cart loaded · issue posted · MAIN −24.
  3. 3

    Review consumption patterns

Use Recent issues and top departments. Repeated large issues without occupancy change → waste or pilferage; reorder from Dashboard alerts.

India example: Shampoo issue doubles with same occupancy → check par & leakage.

Tips

HK par lists make issue quantities predictable. · If HK has its own store qty, transfer MAIN→HK first, then issue from HK to floors if that is your SOP. · Tap a department chip on the form to fill the destination quickly.

Common mistakes

Issuing from the wrong store — negative or nonsense qty on MAIN while HK shelf is full. · Using Issue when stock is only moving MAIN→KIT — that should be a Transfer.

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Issue 24 shampoo to HK Floor 2

Setting

Morning HK par refill before arrivals.

Who is involved

Meera · HK attendant

Hand-over and issue posting happen together.

# What staff do What they should see
1 Stock issue → MAIN · 24 SHAM-30 · HK Floor 2 Lines entered.
2 Physical cart loaded · post issue MAIN −24.
3 Dashboard low-stock check Reorder if needed.
End result: Rooms can be amenitised; store qty honest.
