What this section is

Batch & expiry records lot/batch codes and use-by dates on perishable or regulated stock (dairy, chemicals, some F&B). Issue older lots first — FEFO (First Expiry, First Out). Capture lots on GRN when goods arrive.

In the owner dashboard

Open Batch & expiry tracking under Listing / Property after you claim a stay. Same vocabulary as Help Academy.

~9 min

Typical time to read this guide and complete the screen once for a small property.

Inventory · Control & valuation

Keep stock honest: batch/expiry, physical counts, valuation method, and consumption & wastage analytics.

Help cues

When to use it

Cue 1

Milk/yoghurt delivery with lot M-12.

Cue 2

Cleaning chemical with expiry in 30 days.

Cue 3

Weekly “expires in 7 days” sweep.

Do this

Step-by-step

  1. 1

    Open Batch & expiry

Inventory → Batches. Read Expired / ≤30 days KPIs, then tap a card to filter the register.

India example: Soon · 3 lots · use dairy first this week.
  2. 2

Add or receive with lot data

Use Add batch after a delivery, or capture lot + expiry on GRN for perishables. Without lot data, FEFO cannot work.

    India example: Milk · LOT-M-12 · expiry 17 Oct · KIT · 12 L · ₹58.
  3. 3

    Rotate and write off

Issue/transfer nearest expiry first. Expired stock → Adjustments or F&B wastage with reason — never serve.

India example: Expired chemicals → adjust write-off · dispose per SOP.

Tips

Shelf labels should match system lot codes. · Engineering paints/chemicals also expire — not only kitchen. · Tap the same KPI card again (or Clear filter) to return to the full register.

Common mistakes

Using newest stock from the front of the shelf while old lots expire in the back. · Leaving expired lots in “OK” qty on hand — balance sheet and FSSAI both suffer.

Detailed examples

Full India-hotel scenarios — same structure as Help Academy. Follow on the live screen with your team.

Example 1: Use milk lot M-12 before it expires

Setting

Batch screen shows milk expires in 5 days · newer lot also in MAIN.

Who is involved

Meera · Kitchen

FEFO: old lot out first — even if the new crate is easier to reach.

# What staff do What they should see
1 Batch & expiry → filter milk near expiry M-12 in 5 days.
2 Transfer/issue M-12 to KIT first Kitchen uses old lot.
3 Keep newer lot behind on shelf No surprise expiry write-off.
End result: Dairy used in time; less wastage.
